Transaction Management

Let our real estate transaction coordinators ensure smooth & timely transactions for all of your real estate client deals – from contract to close and everything in between!

Manage Escrow Process:


  • Open Escrow if needed
  • Ensure the buyer’s earnest money deposit is in escrow on time.
  • Request for EMD copy
  • Ensure Escrow have copies of all the fully execute disclosures/addendums/amendment
  • Review escrow instructions for errors
  • Confirm closing a week prior close of escrow
  • Ensure closing package from escrow is received


Manage Scheduling Activities:


  • Coordinate title/escrow, mortgage loan, and appraisal processes.
  • Coordinate inspections, assist in repair negotiations and coordinate the completion of repairs.
  • Submit all necessary documentation to office broker for file compliance.
  • Coordinate moving/possession schedules.
  • Schedule, coordinate & attend closing process.
  • Input all client information into the client database system.

Manage Transaction Communications:


  • Send Intro to all parties with all the information needed
  • Regularly update & maintain communication with clients, agents, title officer, lender etc.
  • Maximizing Calendar (send calendar reminders for contingencies)
  • Ensure Home Inspection is schedule
  • Ensure Final Walkthrough is schedule
  • Document communications among the parties for incomplete or disclosure requests
  • Communicate with Brokerage/Team Leaders/Office Assistant for any Agent Split, broker split, commission changes and/or closing costs/credits
  • Provide weekly summaries with the status of each transaction and deadlines
  • Create a complete file for the client, typically in electronic format, to help with IRS filings

Manage Documentation:


  • Verification of necessary signatures, initials and addenda on contracts, any AS IS, waivers and/or repairs request are submitted in a timely manner.
  • Enforcing use of transaction timeline for a seamless closing
  • Follow up unanswered emails and/or any info requests
  • Ensure Contingency dates are followed (Inspection, Appraisal & Loan)
  • Provide Extension or Demand Notice if needed
  • 1st review - Ensure 2 weeks prior closing all disclosures/condo docs/Underwriter paper works are completed. Collect any items needed from Escrow and or agent (if applicable)
  • 5 days prior close of escrow - Final review for your file, making sure that any and all documents have already been returned including any corrections required from 1st review.
  • Ensuring CDA/Closing request and/or any documents needed by your brokerage/team will be submitted on time.
  • Ensure closing package from escrow is received.
  • Schedule Final Walkthrough
